Job summary:

The Office Coordinator supports the Toronto branch team through various administrative duties to assist all departments in running efficiently and effectively. He/she will provide support to the Operations Manager and report directly to her.

Major Duties:

  • Support the office as directed by the Operations Manager.

  • Work closely with the Operations Manager, Branch Manager and the District Sales Manager through administrative tasks including filing, research, planning events, analysis, etc.

  • Support Territory Rep’s as directed by the Operations Manager.

  • Manage all Toronto general inquiries and distribute as needed general email, faxes and phone calls.

  • Manage all office equipment, support building maintenance issues through coordinating with 3rd parties. Order office supplies for Toronto, as needed.

  • Operate the Main switchboard/Reception area.

  • Proactively look for opportunities to improve processes and support other team members.

  • Adheres to all company and quality procedures and policies.

  • All other administrative tasks as required including scheduling meetings, building maintenance, expense processing, etc.

  • Performs other duties as assigned or requested.

Job qualifications:

  • High school diploma or equivalent.

  • Minimum 3 years' experience in similar position.

  • Previous experience in the dental field is an asset.

  • SAP knowledge an asset.

  • Excellent communication skills, both written and verbal in English.

  • Extremely well organized and attention to detail.

  • Ability to multitask and perform under pressure in order to effectively meet deadlines.

  • Excellent computer, particularly Excel and general accounting skills are required.

  • Exceptional customer service and communication skills.

  • Ability to work independently.

  • Proven team player.
